Instructions for Participants

Participants

From the abstracts submitted, a short list of invited participants was prepared. For these persons, we can provide some travel support and also dormitory room accommodations at MSU.

We regret that our budget does not allow us to provide travel support and accommodations for everyone. However, we welcome the participation of all interested parties, whether specially invited or not. All workshop presentations and activities are open to the public.

If you would like to attend the workshop, feel free simply to join us in Welch Hall at MSU on July 11-13. If you would like to take part in the Working Groups, please notify Helen Aristar-Dry at hdry@linguistlist.org and also register online, as instructed below, so that we can make sure that you are informed about the preparatory activities.

Presentations

1   Please spend at least 3-5 minutes of your 20- minute presentation addressing how your work directly relates to the focus of this workshop, recommendations of best practice in digitizing and annotating texts and field recordings. If you can relate your work to the specific goals of the E-MELD project, we will be most grateful (to read the workshop proposal, go to http://emeld.org/documents.index.cfm and click on "EMELD Proposal".)

2   Please submit your completed paper in electronic form to the E-MELD site by June 1, 2003. We will make your paper available on our website so that attendees can read it before the workshop. In this way, the Workshop participants can familiarize themselves ahead of time with each other's work, and you will have more time in your talk to address the issues which your research confronts.

Please send both an html version of the paper and a Word or pdf version to: workshop@linguistlist.org . A template for the html version can be found HERE. You should be able to download the template, edit it in a text editor or Word, save it as an html file, and send it back. If this doesn't work for you, however, simply follow the instructions in the template as to font and spacing, and send us an html file which is as close to the template as you can get. (Don't worry about the EMELD logo--if it gets in your way, just delete it. We'll fix up the header here.)

Working Groups

Each of the 6 working groups will consider an aspect of the question, "What should the E-MELD project recommend as best practice with regard to text creation, annotation, archiving, presentation, searching, and conversion?" In addition, each working group will be asked to discuss ways to present this information in the E-MELD "Showroom of Best Practice."

As described in the E-MELD grant proposal, the "Showroom of Best Practice" will "offer EL data marked up and catalogued according to community consensus about best practice; it will also disseminate reference material delineating best practice and software tools supporting it." (For the full proposal, go to http://emeld.org/documents/index.cfm and click on "EMELD Proposal") Working group members will be asked to read a small amount of background material before the Workshop. We are hoping to get ideas and concrete suggestions, so that we can make the site a valuable education and reference site for the discipline.

Project Demos

Michigan State has provided us with an adjunct room in which to mount selected project demonstrations-this will be a kind of electronic poster session, however one with significant relevance to Workshop goals. For that reason, we ask that each project demo be accompanied by a handout describing the scope of the project or software, and that the handouts be submitted to us electronically by June 1, so that we can put them on the Workshop website and allow other participants to acquaint themselves ahead of time with each others' approach to the digitization of texts. Also, because the demo session will probably be very interesting to Workshop drop-ins (all workshop events are open to the public), we would like you to bring paper copies to be distributed at the Workshop.

We have allotted an hour and a half in the workshop schedule for 8-10 concurrent demos. The demo room will have both desktop computers connected to the Internet and connections for laptops; but participants may wish to use their own laptops, just to make certain that all the correct fonts and supporting programs are available.
